What we collect about visitors, owners and members; what we compile about practices from public records; and the choices you have.
Effective . Last updated .
In short
- Public pages show statistics only. No public page names a practice, a dentist or an NPI.
- We hold no patient information and do not seek it.
- We do not sell the email addresses of subscribers, owners or members.
- We use no advertising trackers and no third-party analytics scripts.
- An owner's "open to conversations" choice is off unless the owner turns it on, and the owner can turn it off at any time.
Who we are
DDSIntel is operated by The DDS Company ("DDSIntel", "we", "us"). This notice covers ddsintel.com and the DDSIntel member and owner areas.
Visitors and forms
We collect only what you type into a form, and use it only for the purpose of that form:
- Press list: your name, outlet and email address, to send reports under embargo.
- Walkthrough request on the products page: your work email and the kind of firm you work in, to arrange the walkthrough.
- Sponsorship inquiry: your name, company, email address, the placement and period you ask about, and your message, to reply about that placement.
- Correction or opt-out request: the kind of request, the page, your description, and, if you give them, your email address and state license number, to investigate and reply.
- Account setup: your name, job title, firm name and state, and the email address you sign in with, to open and run your account.
Form submissions are stored in our database, hosted by our service providers. Our hosting provider records standard request logs (IP address, browser type, page requested and time) to keep the site running and secure. The only cookies we set keep you signed in after you sign in; we set no advertising or analytics cookies.
Site assistant
The assistant on our pages answers from DDSIntel's published pages and the cited public figures on this site. What you type is sent to Anthropic, which runs the Claude model that writes the answer. We do not store your questions or the answers, and we do not link them to you or your account; the conversation stays in your browser tab until you close it. Our hosting provider's request logs apply as above. Please do not type patient information or personal details. Answers are general information, not legal, tax, financial or clinical advice, and can be wrong: check the linked sources.
Practice records
We compile records about dental practices from public sources: state licensing records, state corporate filings, the federal provider registry, federal exclusion lists, county permit records, and census and shortage-area data, plus licensed commercial data. State public-records law treats most agency records as open to public inspection.1 A practice record contains business information: entity names and officers, license numbers and status, practice addresses and posted hours. It contains no patient information.
Owners
When you claim your practice, we verify you with your state license number and a code sent to the email or mailing address on that license. We store your corrections, survey answers and choices. Survey answers are reported only in aggregate, with the number of respondents shown, and are never shown to members.
If you turn on "open to conversations," members in the audience and region you choose can see your practice name, county, practice type, year established, the date you turned it on and your preferred contact method. They cannot see your survey answers, benchmark results, or your phone or email until you reply. We log every member who views your choice, and you can see that log.
Members
We collect members' names, work emails, firm details and billing information, and log their searches and exports to enforce their agreements and to show owners who viewed a consented signal.
Who we share with
Members see practice-level records under written agreements that prohibit reselling them and using them to contact patients. We use service providers for hosting, email, payments and the site assistant under contracts that limit their use of data to providing those services. We disclose information when the law requires it.
Your choices
- Unsubscribe from any email with the link it contains.
- Correct your practice record in the owner area, or ask us through the corrections form.
- Opt your practice out of member products. Your location remains in published statistics, which never identify a single practice.
- Ask us for a copy of the information we hold about you, or ask us to delete it, including anything you sent through a form. Email privacy@ddsintel.com from the address you used; we may ask you to confirm the request before we act on it.
Retention and security
We keep each version of each public record so that every published figure can be traced to its source. We keep account information while the account is open and for 24 months after it closes, unless the law requires longer. Form submissions that do not lead to an account are kept only as long as we need them for the purpose of the form, or until you ask us to delete them. Data is encrypted in transit and at rest, and member access is logged. See security.
